Program Assistant

$15 / hour

Contract

 

The Program Assistant will assist the Ash Creek Art Center in promoting the arts, providing arts education and inspiring creativity in the community.

The Program Assistant will perform organizational functions in general office duties, membership relations and art workshop coordination.

We are looking for someone with exceptional skills in communications, computer, social media, and organization.

This is a part-time, temporary contract type position of about 10 hours per week, with some flexibility, for up to 500 hours.

Minor Duties and Responsibilities

The Scope of the duties include the following tasks:

• Coordinate ACAC internal and external communications including:

Expedite phone and email communications

Check ACAC Post Office box and route to Treasurer and appropriate officers

Update ACAC social media sites weekly photos, information and class information

Coordinate online registration for adult classes and special workshops

• Work with ACAC Board members to organize and coordinate grant and board reports and materials:

Maintain organizational files for grant request, reports, meeting minutes, class schedules and financial information

Attend monthly board meetings and distribute board packets

Work with Treasurer to prepare required annual reports with IRS and State of Oregon

• Provide coordination of ACAC Membership Relations materials:

Maintain ACAC membership mailing and email lists

Work with the Board to prepare and mail membership recruitment letters and membership renewal requests

Process membership contributions, send thank you letters and deliver checks to treasurer for deposit

 

• Provide support for the ACAC Art Workshops:

Maintain a schedule of ACAC Classes and activities that can be used by board member for publicity

Prepare and maintain workshop/class materials for instructors: evaluations forma, photography permission forms

Take photographs of selected ACAC classes and activities

 

• Provide grant support:

Maintain the schedule of grant application, grant reporting dates and a list of pending grant application with assigned Board member

Distribute press releases announcing awarded grants to area media


Qualifications


High School degree or equivalent required
Associate degree or bachelors degree preferred in related subject

Experience:

 

Ability to work independently
Administrative and organizational experience
Technical writing expertise
Computer and social media skills
Exemplary written and verbal communication skills
Other: Spanish verbal and writing skills preferred
Key Competencies
Word, excel and database management
Social media (Facebook, Twitter, Instagram) management


Physical requirements
 

Ability to lift and carry thirty pounds for assisting in workshop set up
